A task is one conversation with the agent. New team agents default to Team tasks, so team members can see tasks started by other team members. On personal agents, Users see their own tasks unless a task is shared with them. Owners can see all tasks on either kind of agent. On a team agent, Owners can change that with one setting: Access → Task Visibility. Owners always see every task on the agent.
Task Visibility only exists on team agents. On a personal agent you shared, Users normally see only their own tasks and the setting is not shown. Owners can still see all tasks, and a task can also be shared separately. If you need shared history for Users, move the agent to a team or create one.

Change it

  1. Open the agent and go to the Access tab.
  2. Under Task Visibility, pick Their tasks only or Team tasks.
  3. Save.

Everywhere else

FAQ

Either the agent is set to Their tasks only, or the agent lives in someone’s personal space rather than on the team. Check both with an Owner.
No. User Permissions control the setup; Task Visibility controls task history. They are independent.
Start it in incognito to keep it out of normal task history. Incognito is not zero-retention: message content is cached temporarily with a 24-hour expiry, and task metadata is stored without the messages or searchable conversation text.
